PTO GENERAL BODY MEETING

MINUTES OF MEETING NOTES - Unapproved

June 15, 2010

MEETING LOCATION:  Multi Purpose Room, Annex Building 

 

OPENING: 7:10 p.m.  Number of attendees: 13 including Leadership Team

 

Minola Casullo – Co-President: Opened the meeting by introducing the Leadership Team and welcoming all attendees. A written agenda for the meeting was prepared in advance and presented at the General Body Meeting.

 

REVIEW OF MINUTES OF LAST MEETING

Minutes from the May 2010 meeting were reviewed by the general body members present. Whereas a quorum was present, a motion was made and seconded to approve the minutes for May. The motion passed.

TREASURER’S REPORT

Ami Wood, treasurer, prepared a balance sheet and profit/loss statement as of June 15th and went over the numbers with the General Body. We have approximately $2,000 in checking and another $15,000 in savings. 3 Cd’s have been opened to fund Scholarships and Library Fund for the next 3 years. Our next Auction will be held on Saturday, April 2nd, 2011 and will work towards funding year 4 and beyond.

UPCOMING ISSUES/EVENTS/COMMITTEES

Committee Reports

Kindergarten Meet & Greet – June 8th : Doreen reported that approximately 120 people (students, parents and siblings) attended. The new coloring book was a hit. We have had positive feedback from this event from parents and teachers who attended.

Unfinished Business

PTO Sponsorship of HS Girls Conference for Women: Susan Pires made a presentation to clarify her presentation from the May Meeting. Other parent sponsors, Maria Luti and Angela Kontos were present for questions as well. With the clarifications, the PTO feels more comfortable in sponsoring this program. A motion was made and seconded to sponsor MV Girls Group as presented by Susan Pires, Angela Kontos and Maria Luti. The motion passed. 

New Teacher Welcome Baskets: Minola brought in a sample of the Welcome Baskets that she will be giving to Dr. McCleary for our new out of state teachers.Included in the baskets are take out menus from local restaurants, Necco Wafers, Boston Baked Beans, 1 T-Pass and a booklet that Minola created about some of the local towns.

8th Grade Move Up- T-Shirts: Minola reported that the T-shirts are moving. Administration has approved a T-shirt design (by Mr. Jim Siener), of a Navy blue T-shirt with white lettering. Ami will be picking them up from the printer on Friday and they will be handed out either on Field Day or at the Awards Ceremony (same day).

Field Day – Popsicles/Water: The PTO will be providing Popsicle Brand Popsicles (no allergens) and bottled water (rather than gallon jugs).

Auction/Dinner/Dance: preparations are underway for our next Auction/Dinner Dance which will be held on Saturday, April 2, 2011 at the Danversport Yacht Club. The Auction Committee has met and come up with an ‘80’s theme. Tickets will be $80 per person or $150 per couple. Our website will allow payment by credit card (new this year). Next Auction Committee Meeting is Wednesday, June 23, 2010 at 7pm at Ami’s house.

New Business

Kindergarten Orientation – August 20th. The PTO provides refreshments at the K Orientation. Please see Minola if you can help. (Time needed is from 9:30 am for setup until c. 11:30am).

Meetings – Monthly vs. Every other month: Administration has approached us to ask if we would consider going back to meetings every other month with the exception of May and June. Then the PAC could switch their meetings to the 3rdTuesdays and meet on the Tuesdays that we don’t. Discussion followed. A motion was made and seconded to change our meetings back to every other month beginning in September, except May and June. The motion passed.

 

Open Forum:

Minola brought up giving a gift to the custodians as a token of our appreciation for all the help they give us during the year at our events. Discussion followed. A motion was made and seconded to give a gift of $50 each to our Custodial staff (4) who have helped us this year at PTO Events. The motion passed. 

 

Announcements:

The next PAC Meeting will be Monday, June 21st at 7pm in the MPR. Collegiate House will be available to take measurements and orders for new uniforms for the Fall.

 

Next Meeting:  The Next PTO Meeting will be held on Tuesday, September 21st, 2010 at 7:00 pm.
